Our headquarters are located in Palo Alto, CA. All positions are hybrid with regional offices located throughout the United States.

Responsible for administrative duties supporting the Executive Team. Performs a variety of administrative assignments and special projects, including, but not limited to, assistance with maintaining and managing Executive calendars and travel arrangements. Additionally, this position will be responsible for the coordination of bi-weekly All Hands Meetings, as well as monthly collaboration week. Interacts and coordinates work with all departments.

Responsibilities

  • Performs administrative duties for the Executive Leadership Team, including, but not limited to, scheduling meetings and conference calls, and booking travel.
  • Coordinates All Hands Meetings and Collaboration Weeks including preparing agendas and handouts, taking minutes, and following up with all the deliverables from all parties in attendance.
  • Handles details of a confidential nature, and performs administrative functions based on understanding of company policies, executive expectations, and the organization’s mission.
  • Reviews and submits all expenses and reimbursements for all employee events.
  • Provides high level of customer service to internal and external customers, often acts as liaison between Executive Team and employees.
  • Coordinates engagement activities, including catering needs, with the Human Resources Department.

Qualifications

  • High school diploma or equivalent.
  • A minimum of 4 years of administrative/executive assistance experience required in supporting senior level executives.
  • Managing multiple senior level executive calendars required.
  • Making travel arrangements for Executive team.
  • Taking meeting notes and following up on all deliverables with all parties in attendance.
  • Strong commitment to excellent customer service required.
  • Must thrive in a fast paced, rigorous environment with changing priorities.
  • Ability to meet deadlines and work under pressure.
  • Must demonstrate a high level of organizational skills and ability to work independently.
  • Ability to manage multiple tasks with minimal supervision.
  • Must demonstrate high level computer skills including Microsoft Word, PowerPoint, Excel, and Outlook.
  • Ability to communicate effectively and collaborate cross-functionally with different departments.
